Village Animation Assistant

Describe work tasks and responsibilities:

  • Be fully involved in the day-to-day operations of the Village Animation program that offers community events throughout Whistler on a daily basis.
  • Maintain performer contact database, and other program records.
  • Assist Village Animation Coordinator with volunteer and contractor scheduling and supervision on-site.
  • Assist Village Animation Coordinator with follow up on artist accommodation and contracts.
  • Liaise with Whistler business community on performer scheduling and marketing.
  • Provide performer services by ensuring sites are performance-ready; assist performers through arrival, set-up and program delivery.
  • Liaise with Village Animation Coordinator for third-party assistance (e.g. Village Maintenance crew, Chamber of Commerce communications).
  • Provide performer evaluations, photographs and program evaluations to the Village Animation Coordinator following each weekend of scheduled performances.
  • Assist with general office duties as required.

    The student will be supervised primarily by the Whistler Arts Council’s Village Animation Coordinator and will work in a team environment. The mentoring plan includes one-on-one instruction, ongoing feedback and daily supervision to assist with learning and to ensure comfort level of duties assigned and accomplished. The festival holds weekly staff meetings with all event staff to develop team building, communication strategies and timelines. The student will have excellent opportunities to gain mentorship from the Manager, Events and Programs.

    Term: Approx. 12 weeks, starting at the beginning of June

    Must be enrolled and returning to post secondary in September 2012 (Community College, CEGEP, Technical Institute, University)

    WORKSHOP & REGISTRATION ASSISTANT

    For Whistler Children’s Art Festival & Whistler Art Workshops on the Lake

    Describe work tasks and responsibilities:

  • Assist Event Manager with workshop registration including detailed set-up of registration process, files, volunteer recruitment and management, supervise registration process.
  • Assist Event Manager and Site Manager with volunteer coordination and scheduling for workshops and free activities.
  • Maintain database on festival art workshops, free activities and summer art workshops, including contact and participation information for participants, sponsors and workshop/activity leaders.
  • Support Event Manager with workshop leader liaison, scheduling and supplies.
  • Coordinate workshop bookings, including customer follow up and payment.
  • Support Development Manager and sponsors with on-site sponsor activation at the festival.>
  • Coordinate with Development Manager, Site Manager and Event Manager to finalize and implement on-site requirements for registration and workshop/activity leaders including load-in and out, site plots and sponsor signage.
  • Act as on-site liaison for workshop leaders, volunteers and participants during summer art workshops, including load-in/out requirements of supplies and equipment
  • The student will be supervised primarily by the Whistler Arts Council’s Manager of Events and Programs and will work in a team environment.     We will be hiring from Arts and Humanities departments as well as Business. The position relates to these fields through training for working on cultural events, event and festival management, working in a team environment, working with young people, corporate client liaison and office procedures.
